1. Who we are
ProShield Distribution Ltd is the controller of the personal data described in this notice. We are the exclusive master distributor of Youngstown Glove Company products for Europe and the Middle East.

2. What this notice covers
This notice explains what personal data we collect, why we collect it, who we share it with, how long we keep it, and what rights you have.
It covers our website at proshielduk.com, enquiries you send us, business contact that we initiate, and the glove wear trials we run with utility companies.
We do not currently sell goods through this website and we do not take payments through it. If that changes, we will update this notice.
3. The personal data we collect
3.1 When you contact us through our website
Our enquiry form asks for your name, work email address, company or utility name, job title, country, the type of organisation you work for, and what you would like help with. You may also give us your telephone number, the approximate number of crew members who wear gloves, and any message you choose to write. These three are optional.
3.2 When you visit our website
Our website is hosted by Squarespace, which records limited technical information such as your IP address, your device and browser type, the pages you view, and the website you arrived from. We use this to understand how our site is used. Clause 11 explains our use of cookies.
3.3 When we contact you about our products
We carry out business-to-business marketing to people working in the utility and energy sectors. For this purpose we hold your name, job title, business email address, employer, and business telephone number where it is available.
We obtain these details from business contact databases, including Apollo.io; from publicly available professional sources such as company websites and LinkedIn; and from people who give them to us at trade events or by referral.
You can ask us to stop contacting you at any time. Reply STOP to any email from us, or write to info@proshielduk.com. We will action your request the same working day, and we will keep a minimal record of your address so that we do not contact you again by mistake.
3.4 When your organisation takes part in a wear trial
If your organisation trials our gloves, we may hold the names and contact details of the people managing the trial, the depot or location involved, glove sizes and quantities, and the feedback given by your crews and safety representatives. We ask for crew numbers and sizes rather than named individuals wherever we can.
4. Why we use your data, and our lawful basis
We must have a lawful basis under UK data protection law for everything we do with your personal data. The list below sets out what we do and why we are permitted to do it.
Respond to your enquiry, arrange a wear trial, and provide the technical or certification information you ask for. Performance of a contract, or steps taken at your request before entering into a contract. We also rely on our legitimate interests in responding to business enquiries.
Contact utility and energy businesses about our products. Our legitimate interests in promoting our business to relevant professional audiences. We have assessed this and consider that it does not override your rights, because we contact people only in a business capacity, about products relevant to their work, and we stop immediately on request.
Run and review wear trials, including with your safety representatives. Performance of a contract, and our legitimate interests in evaluating how our products perform in the field.
Keep records of enquiries, trials and orders. Our legitimate interests in managing our business, and legal obligation where we are required to keep records.
Understand how our website is used. Consent, which you give through our cookie banner, for any non-essential cookies.
Meet our legal and regulatory obligations, including those relating to product safety and certification. Legal obligation.
5. Who we share your data with
We do not sell your personal data. We share it only as set out below.
Youngstown Glove Company, LLC (United States). Our supplier. We discuss enquiries, wear trials and technical requirements with them so that they can support your requirement.
Squarespace (United States). Our website host and enquiry form provider. Enquiries you submit are stored in our Squarespace account.
Google (United States). Our email and document provider.
Apollo.io (United States). The platform we use to manage business contact data and outbound email.
Couriers and logistics providers. Where we send trial gloves or goods to you.
Our professional advisers. Our accountants, lawyers and insurers, where it is necessary for them to see the information.
Regulators, law enforcement and other authorities. Where we are required to share information by law.
6. Sending data outside the United Kingdom
Several of the organisations listed in clause 5 are based in the United States. Where we transfer personal data outside the United Kingdom, we make sure that it is protected by an appropriate safeguard recognised under UK data protection law.
Depending on the organisation, that safeguard is either the UK Extension to the EU–US Data Privacy Framework, or the International Data Transfer Addendum to the EU Standard Contractual Clauses.

7. How long we keep your data
We keep personal data only for as long as we need it. Our standard periods are set out below.
Enquiries that do not lead to a business relationship. 24 months from your last contact with us.
Business contact data used for marketing. 24 months from the last engagement, or until you ask us to stop, whichever is sooner.
Wear trial records. 6 years from the end of the trial, so that we can answer questions about product performance and safety.
Customer and order records. 6 years after the end of the relationship, to meet tax and accounting requirements.
Records of people who have asked not to be contacted. Indefinitely, in minimal form, so that we can continue to honour the request.
8. Your rights
Under UK data protection law you have the right to:
ask for a copy of the personal data we hold about you;
ask us to correct data that is wrong or incomplete;
ask us to delete your data in certain circumstances;
ask us to restrict how we use your data;
object to our use of your data where we rely on legitimate interests, including for marketing, which we will always stop on request;
ask us to transfer your data to another organisation in certain circumstances; and
withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, please email info@proshielduk.com. We will respond within one month. There is normally no charge.
9. How to complain
If you are unhappy with how we have handled your personal data, please tell us first at info@proshielduk.com so that we have the chance to put it right.
You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection.

10. Security
We take appropriate technical and organisational measures to protect personal data, including access controls, encrypted connections to our website, and limiting access to those who need it. No system is completely secure, but we review our arrangements regularly.
11. Cookies (our cookie notice)
This clause is our cookie notice, and is the document referred to in clause 14.2 of our Terms of Use.
Our website uses cookies. Essential cookies are needed for the site to work — they keep the site secure, remember your cookie choice and let the enquiry form submit. Non-essential cookies, including the analytics cookies our website platform sets to tell us which pages are read, are set only if you accept them through our cookie banner.
You can change your choice at any time by clearing the cookies in your browser and returning to the site, and you can withdraw consent as easily as you gave it. Declining non-essential cookies does not affect any part of the site you can use.
12. Changes to this notice
We review this notice at least once a year, and whenever our activities change. The date at the top of this page shows when it was last updated.
